Why the Cheapest Quote Is Rarely the Cheapest System
Air conditioning is not a product you buy, it is a system somebody designs. Two contractors can quote the same building and arrive at very different answers because they have made different decisions about capacity, pipework routes, controls and future serviceability. The gap in price usually reflects a gap in engineering.
The costs that hurt a business rarely appear on the quotation. They show up later as:
- Undersized equipment that runs flat out all summer, burns electricity and fails early.
- Oversized equipment that short-cycles, controls humidity poorly and costs more to buy and run.
- Poor access for servicing, turning a routine visit into a scaffolding job.
- Missing compliance records, leaving you exposed at inspection or at lease renewal.
- Downtime in a retail unit, restaurant or server room, where an hour without cooling costs real money.
The Non-Negotiables: Accreditation and Compliance
Some things are not preferences, they are legal requirements. Any contractor handling refrigerant in the UK must hold the correct F-Gas certification, both at company level and for the individual engineers on site. If a contractor cannot produce this without hesitation, that is the end of the conversation.

Questions That Separate Good Contractors From Bad Ones
1. Did they visit the site before quoting?
A quote produced from a phone call and a floor plan is a guess. Heat load depends on glazing, occupancy, equipment, insulation and how the space is actually used. If nobody has walked the building, nobody has designed anything.
2. Can they explain why they chose that system?
Split, multi-split, VRV/VRF or a ducted solution — each suits a different building. A good contractor will explain the trade-offs in plain terms, including running costs and how the system copes with partial occupancy. A weak one will simply quote whatever they usually fit.
3. What happens after installation?
This is the question most buyers forget. Installation is a single day. Maintenance is a fifteen-year relationship. Ask about response times, out-of-hours cover, whether they hold common spares, and whether their engineers are directly employed or subcontracted. 4. Do they understand ventilation and air quality, not just cooling?
Cooling and fresh air are different problems. A contractor who only sells cooling will miss ventilation requirements entirely — a common failing in offices, gyms and hospitality venues. Look for a company that can advise across ventilation and air quality as well as air conditioning.
5. Can they show you comparable work?
Ask for references in your sector. A contractor experienced in domestic installs is not automatically the right choice for a distribution centre, a restaurant kitchen or a multi-site retail estate.

Put them side by side and check that each one specifies the same equipment, the same capacity, the same controls, the same commissioning and the same aftercare.
